Salary Minimum: $90,000, commensurate with experience. Medical and Dental insurance premiums 100% paid by organization.

Job Summary: As a key member of The Attic Youth Center’s senior leadership team, the Director of Operations works collaboratively with the Executive Director (ED) and other team leaders to ensure the smooth operation and strategic growth of the organization. The Director of Operations will lead and support a diverse team across various operational areas, including finance, human resources, IT, facilities, and administration. This role is integral in fostering a culture of teamwork and mutual respect, aligning with our mission, vision, and values. The Director of Operations will play a central role in shaping the center’s strategy, driving organizational change, and supporting the growth and development of our team and programs.
Duties & Responsibilities:
Strategy, Vision, and Leadership:
- Partner with the Executive Director and senior leadership team to provide visionary leadership and foster a collaborative environment that encourages communication and teamwork across all departments.
- Oversee both programmatic and non-programmatic functions to ensure effective and respectful daily operations and cultivate a supportive team culture.
- Maintain strong financial and administrative controls, working with the team to ensure alignment with organizational goals.
- Support and contribute to the center’s outreach, fundraising, and development initiatives in partnership with the ED and Director of Development.
- Collaborate with the ED in developing and implementing strategic planning processes that guide the center’s long-term goals and objectives.
- Work with the leadership team to develop business models and long-term budgetary plans, providing strategic insights based on financial analysis and projections.
- Address the evolving needs of each department and program by providing timely and collaborative solutions.
- Help build a cost-efficient administrative infrastructure that supports the operational and strategic needs of all programs and services.
- Foster positive relationships with the Board of Directors, management team, program managers, staff, and external partners.
- Participate in staff meetings, department meetings and consultations, and supervisory meetings.
- Complete staff professional development trainings as necessary and/or required.
- Attend and participate in all Attic annual and special events.
- Other relevant duties as assigned.
Client Services Program Coordination:
- Work closely with Director of Programs and their team members to plan, organize, and deliver programs and services that align with the center’s mission and strategic goals.
- Develop and implement new initiatives that support the organization’s strategic direction, working collaboratively with staff to achieve program outcomes.
- Partner with the ED and finance team to develop and manage contract and program budgets and operational plans, ensuring alignment with various partnership agreements and the organization’s annual budget.
- Promote a culture of continuous improvement by working with teams to create and utilize program evaluation tools, identify areas for enhancement, and implement new strategies.
- Collaborate with the ED and Director of Development to ensure adequate funding and compelling proposals for programs and services.
- Develop and implement policies, procedures, and protocols to ensure effective and ethical program delivery.
- Build and maintain partnerships with community resources and ensure staff and youth are aware of available services and programs.
Program Staffing:
- Collaborate with the ED and other department leadership to recruit, interview, and select program staff, ensuring alignment with program needs and organizational values.
- Ensure job descriptions and performance standards are up-to-date and support staff development.
- Collaborate with human resources consultant(s) to ensure policies and personnel files are maintained in compliance with organizational practices.
- Ensure implementation of orientation and ongoing trainings for new and existing staff to enhance their effectiveness.
- Support program managers, offering direction, feedback, and support to help them succeed in their roles.
- Develop opportunities for staff learning and professional growth, including connecting with local graduate programs for internships.
- Engage volunteers and integrate them into program activities where appropriate.
Program Documentation and Controls:
- Oversee the collection and maintenance of client information, ensuring compliance with confidentiality and privacy protocols.
- Manage program budgets and financial records, ensuring accurate and timely reporting as required by funders.
- Monitor and evaluate program risks and implement measures to mitigate them.
- Ensure consistent and branded messaging from program staff, adhering to agency guidelines and communication standards.
Qualifications:
- At least 8-10 years of relevant non-profit management experience, with a strong track record in team leadership and collaboration.
- Master’s degree preferred, or significant experience that demonstrates equivalent expertise.
- Broad experience in non-profit functions, including strategic development, financial operations, IT, and human resources.
- Understanding of the unique needs of LGBTQ+ serving organizations, particularly regarding safety and confidentiality for LGBTQ+ youth.
- Ability to work effectively in a team environment, manage multiple projects, and contribute to organizational success.
- Strong interpersonal communication skills, with a demonstrated ability to build and maintain positive relationships.
- Proficiency in Microsoft Office and experience with accounting and reporting software.
- Commitment to confidentiality, professionalism, and problem-solving.
- Must pass required clearances: Child Abuse History, PA State Police, and FBI Criminal Background Check.
